Did your doctor recommend a hearing test, but you're feeling unsure about what to expect? You're not alone. In fact, over 56% of patients referred to an audiologist never schedule their appointment. Why? Sometimes it's due to simple clerical issues, like a fax not being received. Other times, patients may feel anxious about seeing a specialist or aren't sure if it's really necessary.

At Santa Rosa Hearing, we understand how intimidating medical appointments can feel—especially if it's your first time. That’s why we want to take the mystery out of the process. Here’s a detailed look at what happens before, during, and after a hearing evaluation appointment, so you can feel more confident and prepared.



Step 1: Referral or Reaching Out

Many of our patients come to us in different ways:

  • Through a referral from their primary care provider

  • From a friend or family recommendation

  • Or by simply finding us online while searching for a hearing specialist in Santa Rosa

If your doctor has referred you, they typically fax us a referral that includes your contact details. Once we receive it, our team will give you a call to schedule.

If you’re not sure whether your doctor sent a referral—or if you don’t have one—don’t worry. Just call our office directly, and we’ll be happy to help you get started.



Step 2: Appointment Scheduling

When you connect with our friendly front desk staff, we’ll ask you a few quick questions to create your chart in our system. These include:

  • Your name, birthdate, and contact information

  • Whether you plan to use your health insurance

If you’re using insurance, we’ll verify your eligibility before your visit, so you’ll have a clear idea of coverage and out-of-pocket costs. We’ll then help you find a convenient date and time that fits your schedule.



Step 3: Getting to Our Office

Our office is located in downtown Santa Rosa in the West America building, at the corner of Santa Rosa Avenue and First Street. Parking is available, with an entrance off First Street.

Step 4: Check-In and Paperwork

When you arrive, you’ll be greeted by our team. We’ll ask to see your insurance card and have you review and sign a few important forms, including:

  • Consent for treatment

  • HIPAA acknowledgment

  • Financial policies

If you have a co-payment, you’ll have the chance to take care of it before your appointment begins.



Step 5: Meet Your Audiologist and See the Testing Booth

Once your paperwork is complete, your audiologist will come greet you in the lobby and guide you to our testing room.

Inside, you’ll see a large, quiet space featuring our sound-treated booth. This booth was custom-designed to feel open and comfortable, with two large windows and soft ventilation. It blocks outside noise to ensure accurate results.

You might notice some unfamiliar equipment—but don’t worry. Your audiologist will explain every tool, what it does, and what to expect during each part of the test. None of our tests are painful or invasive.



Step 6: Your Case History and Hearing Concerns

Before any testing begins, your audiologist will take time to learn more about you. You’ll discuss:

  • Your medical and ear health history

  • Any hearing difficulties or tinnitus

  • How hearing changes may be affecting your day-to-day life

This is a great time to ask questions—we welcome them all, whether they’re about hearing aids, tinnitus, or anything you’ve heard from others about audiology. If we don’t have the answer on the spot, we’ll look into it and follow up.



Step 7: Hearing Testing

Now it’s time for your hearing evaluation. Depending on your concerns and medical history, we’ll perform a mix of objective and subjective hearing tests.

Each step will be clearly explained before we begin, including:

  • What equipment we’ll use

  • What the test measures

  • What we need from you (such as pressing a button or repeating words)

Testing usually takes about 20 minutes, but may vary based on individual needs.



Step 8: Reviewing Your Results

After the tests, your audiologist will analyze your results and review them with you. You’ll learn:

  • The basics of ear anatomy

  • What your test results show

  • Possible causes of your symptoms

We’ll ensure everything is explained clearly, and we’ll take time to answer all your questions. We want you to feel informed and confident about your hearing health.



Step 9: Personalized Recommendations

Next, your audiologist will walk you through the recommended next steps, which might include:

  • Monitoring your hearing annually

  • A hearing aid consultation

  • Referral to an ENT specialist (otolaryngologist) if needed

Step 10: Scheduling Follow-Ups

Finally, your audiologist will bring you back to the front desk, where you can schedule your next appointment. Whether it's a follow-up hearing check or a consultation for hearing aids, we’ll make sure you’re set.
